Operations Assistant

Responsibilities

Administration:

  • Type and proof-read correspondence, forms and other documents
  • Assist in basic accounting functions (when needed)
  • Scan documents and file accordingly

Property Management support:

  • Assisting with projects as needed (i.e. Obtaining quotes, organizing and following up on scheduled maintenance and inspections, etc…)
  • Follow up on tenant insurance and maintenance records
  • Assist in updating contact spreadsheets and property information

General office:

  • Order office supplies and maintain inventory
  • Large mail outs (i.e. mail merges, copying packages, etc… )
  • Preparing, following up, and scanning of leases
  • Assisting in keeping the office organized and watering plants

Reception:

  • Answering phones in a clear, friendly manner
  • Filter and handle incoming calls (i.e. payable queries, maintenance calls, etc…)
  • Greeting visitors to the office with a professional first impression
  • Opening and distributing mail

Executive Assistant:

  • Working closely with the CEO as his EA

Requirements:

  • Have concise communication skills in English, verbal and written*
  • Experience in Microsoft Office programs: Word (Mail Merge), creating specialized documents; Excel (formatting spreadsheets and basic intermediate formulas); Outlook (managing mail and contacts, tasks and reminders)
  • Ability and willingness to quickly learn and navigate other software programs and websites
  • Customer service-orientated, comfortable and confident with phone communication
  • Follow directions accurately and timely
  • Be attentive to detail in producing quality work
  • Skilled at prioritization and time management
  • Able to work independently and with a team
  • Experienced working in a professional office

Pay: $53,000.00 – $55,000.00 per year
